Workflow Folder Status Definition

The following describes the different workflow folder statuses.

  • Active - The folder is still active (has not been Completed, Cancelled, placed On Hold, Terminated or De-Activated).
  • Cancelled - A step within the workflow allowed the user to Cancel the workflow without reaching the final step. Similar to Terminated.

  • Completed - All steps within the workflow have been Completed.

  • Folders with tasks On Hold - A step within the workflow allowed the user to place the workflow On Hold waiting on additional documentation, information, etc. 

    • The assigned user can take the folder off Hold from the "On Hold" tab.

    • The workflow will return to the assigned users Inbox when the defined/chosen date is reached.

    • When the On Hold folder reached the defined expiration date, the workflow can continue from any step configured on the On Hold Timer.
  • Terminated - A step within the workflow allowed the user to Terminate the workflow without reaching the final step.  Similar to Cancelled, except Terminate requires the user to add a Note.

Note about De-Activating and Re-Activating a folder:

  • De-Active folder - This will terminate the workflow without reaching the final step, terminating the workflow and no Note is required from the user.

    • The repercussion of doing this is any required action(s) that needs to happen with the business process WILL NOT be completed unless the folder is reactivated.

  • Re-Activate folder - By default reactivating a BPMN1 workflow process will restart the process from the beginning.  However, the BPMN workflow can be configured to re-activate to start at the last user step or to start at specific steps within the workflow.
